A month-end payables review needs more than a list of unpaid bills. Collect the dates and documents that let the accountant assess which period an item relates to, including invoices arriving after the cutoff. Keep evidence preparation separate from the accountant's decision about recognition or adjustments.
Agree the review boundary
Confirm the company, period end, reporting basis, and the subsequent-document window the accountant wants examined. Save the starting report and its settings. Intuit explains that cash and accrual reporting show income and expenses differently, so the basis must be explicit when comparing reports. See its cash and accrual reporting guidance.
Do not change the company accounting method to make two exports agree. Ask the reviewer which report settings and records are appropriate for the task.
Gather the dates behind each exception
| Evidence | Why the reviewer needs it |
|---|---|
| Invoice and invoice date | Identifies the supplier's billed document |
| Service period or delivery record | Shows what work or goods the document covers |
| Receipt date | Shows when the business received the document |
| Existing entry | Shows the recorded date and transaction reference |
| Subsequent payment or credit | Adds context without deciding the accounting treatment |
Request missing delivery confirmations from the operational owner. For recurring services, retain the agreement or statement showing coverage dates. A purchase order, an invoice, and a delivery record answer different questions; label them accurately in the evidence pack.
Example: an invoice received after month-end
Suppose, for illustration, a supplier sends an invoice early in the next month for work described as completed before the cutoff. The assistant gathers the invoice, service dates, operational confirmation, and any existing entry. The exception note asks the accountant whether further action is required for the closing period.
The assistant does not backdate the bill, create an accrual, or reopen a closed period merely because the service date appears earlier. Record the approved decision and any instructions for implementation before changing the file.
Review both missing and duplicate records
Compare late-arriving documents with existing entries so a second copy does not become a second bill. Keep uncertain matches visible with supplier, reference, amount, and date. Where a subsequent credit changes the supporting evidence, link it to the original bill and ask the reviewer whether it affects the close.
Finish with a dated exception list, document links, unresolved questions, and the accountable reviewer. Preserve the original report and the decision trail alongside any authorized changes.
Continue with the payment review
Use payables aging prioritization to separate supported payment requests from disputes and missing approvals. QBOAssistant can gather cutoff evidence and track responses; the accountant decides treatment and the owner controls payment authority.
