An accounts payable aging list shows which vendor balances need attention. A payment review also needs context: whether the bill is supported, whether a credit or dispute is outstanding, and who can authorize the next action. Age alone should not decide which items are paid.
Prepare a dated starting list
Save the client's payable report for the agreed review date and retain the settings used. Keep vendor, bill reference, due date, open balance, and currency identifiable. Ask the owner which supplier commitments or operating dependencies need particular attention rather than assuming that the largest balance is the most urgent.
Check the selected bills against invoice copies, agreed terms, and approval records. Flag possible duplicates and payments awaiting confirmation before adding items to a proposed payment queue. Do not remove a balance simply because someone remembers paying it.
Separate payment readiness from priority
| Review group | Preparation action |
|---|---|
| Supported and approved | Place in the owner's payment review queue |
| Missing approval or invoice | Request the exact missing record |
| Disputed amount | Preserve the disputed and undisputed details separately |
| Credit expected | Link the vendor correspondence and pending credit |
| Payment uncertain | Check the payment record before another payment is proposed |
These groups describe work to be done, not automatic payment rules. The owner sets the payment order and approves release. Bank details and payment authority must follow the client's existing controls; a supplier email alone should not silently change a payment destination.
Example: two overdue supplier bills
In an illustrative review, one overdue bill has an approved invoice and no known dispute. A second, older bill includes a charge the operations manager has challenged. The assistant puts the first in the payment approval queue and the second in the dispute follow-up list, with the manager's response due date.
That separation prevents an old disputed item from repeatedly circulating as ready to pay. It also keeps the dispute from being treated as permission to alter the original bill or promise a settlement to the supplier.
Give the owner a usable handoff
Summarize supported balances awaiting approval, documentation requests, unresolved disputes, and payments needing confirmation. Include upcoming commitments identified by the owner and the next action for each exception. Link the supporting bill rather than copying sensitive supplier records into an unrestricted message.
After approval, record the decision and route authorized payment work through the client's designated process. Refresh the review list when new bills, credits, or confirmed payments change the position; retain the earlier snapshot for comparison.
Connect the review to the close
The payables cutoff workflow addresses period-end evidence. QBOAssistant can prepare both queues and follow up on missing records while approval and payment release stay with the authorized client team.
