A useful accountant question contains enough context to answer without reconstructing the file. Replace a message such as “please check this balance” with the period, transaction references, evidence examined, and the specific decision still needed.
Separate questions from document requests
A missing receipt belongs on a document request list until someone supplies it. A conflict between a receipt and a recorded transaction may need an accountant's judgment. Keep these queues separate so the accountant can distinguish unavailable evidence from a decision that is ready for review.
Before writing the pack, agree the review period and deadline with the owner. Identify who can supply missing records and who can approve changes. Do not send customer or employee information beyond the access scope agreed for the handoff.
Write one decision per question
| Question field | Useful detail |
|---|---|
| Context | Company, period, account, and transaction references |
| Observation | What the records currently show |
| Evidence | Links to original documents and relevant report exports |
| Decision | The exact issue the accountant needs to resolve |
| Follow-through | Responsible person, deadline, and decision reference |
Describe observations without presenting a proposed treatment as a conclusion. Where two documents disagree, include both and state the disagreement. Avoid combining an invoice dispute, an account classification question, and a missing approval into one paragraph.
A worked handoff example
Consider an illustrative vendor invoice whose description covers two service periods. A useful question identifies the invoice, quotes the relevant coverage dates briefly, links the agreement, and shows how the item is currently recorded. It asks the accountant to confirm the appropriate treatment before the close is finalized.
The assistant should not resolve the question simply by moving the transaction to the period that makes a report look more consistent. Record the accountant's decision and the approval needed for any subsequent change. Keep any proposed adjustment separate from the original record until authorized.
Arrange the discussion around decisions
Group the pack by review area, then put questions affecting an agreed close deadline first. Provide a short summary of open decisions and missing inputs. Each question should have a stable reference that the accountant can cite in a reply.
During review, record the answer, reviewer, date, and any follow-up evidence requested. If the answer is conditional, preserve the condition. An email saying “looks fine once the statement arrives” is not unconditional approval to close an unresolved reconciliation.
Close the loop
Return the completed decision log to the owner and keep unresolved questions visible. Use the handoff evidence index to organize the supporting files. QBOAssistant can prepare the pack and follow up on missing inputs while the accountant retains professional judgment.
