An accountant handoff should make a question traceable from the summary to the underlying record. An evidence index provides that map: the file, the period it covers, the transaction it supports, and the person responsible for the unresolved decision.
Organize by the accountant's review areas
Create folders for bank and card reconciliations, unpaid customer invoices, vendor bills, payroll summaries, and other areas requested by the accountant. Agree the folder structure before gathering documents. A large unsorted download can create more review work than a smaller, clearly indexed package.
Save report exports with the company, period end, preparation date, and report settings. Keep the original export separate from working annotations. If an export is replaced, retain the earlier version and identify which version the accountant should review.
Build an index that survives the handoff
| Index field | What to include |
|---|---|
| Reference | A stable document reference used in the question list |
| Coverage | Company, account, period, and report settings |
| Evidence | Restricted-access file link and source description |
| Status | Ready, missing support, replaced, or awaiting decision |
| Responsibility | Preparer, reviewer, and next action date |
Use references that remain meaningful when a filename changes. Test links using the accountant's intended access permissions; a link that works only for the preparer is not a completed handoff. Share records through the client's approved storage system, without copying passwords or bank login details into the index.
Example: a reconciliation difference
For a hypothetical month-end card reconciliation, the index might link the statement, the saved reconciliation report, and a short list of unmatched transactions. A question in the handoff pack points to those same references and explains the difference still unresolved. The accountant can inspect the original records without searching through an email chain.
If the statement is missing, label the reconciliation package incomplete. A screenshot of a balance does not replace the full supporting document. Record who is obtaining the statement and when the package will be updated.
Check the package before release
Open each linked document, confirm its period, and remove accidental duplicate versions from the review list without deleting the preserved originals. Separate completed schedules from items awaiting information. Give the accountant a short cover note stating what changed since the previous handoff and which decisions are time-sensitive.
Keep the index after review. Add the review date and decision reference rather than replacing the preparer's original observation. This leaves a useful history for the next close.
Prepare the next conversation
Use the accountant handoff question pack for decisions that need explanation. QBOAssistant can organize the documents and outstanding requests; the authorized accountant or owner retains accounting and tax decisions.
