Bottom line: Do not fix an unfamiliar retained earnings balance with a plug. First separate the automatic roll-forward of prior-year profit or loss from direct postings, opening-balance entries, owner-equity activity, and later edits to closed periods. Build a bridge from the last approved year-end balance to the current QuickBooks report, then give the evidence and unresolved decisions to the accountant or owner.

Start with the reporting question

“Retained earnings looks wrong” can describe several different problems. The owner may be comparing the current balance sheet with a tax return, a prior accountant’s financial statements, a lender package, or a number remembered from last year. Those references may use different dates or accounting bases. Before investigating transactions, record the comparison document, its period end, whether it is cash or accrual basis, the entity, and the expected amount.

Run the current balance sheet in QuickBooks Online for the same date and basis. Also export the prior-year profit and loss, the retained earnings general ledger, the journal report, and the audit log for the period under review. Save the report settings with the exports. A report without its date, basis, and entity label is weak evidence because a later reviewer cannot reproduce it.

QuickBooks normally transfers prior fiscal-year net income into retained earnings on reports. That presentation does not require a user-created closing journal entry. Intuit’s explanation of retained earnings in QuickBooks Online describes how to view the account’s detail and how prior-year activity appears. Use that behavior as a starting point, not as proof that every balance is correct.

Build a year-over-year bridge

Choose the last retained earnings amount that was actually approved. It may be the closing balance in signed financial statements rather than the earliest number available in QuickBooks. Put that amount at the top of a reconciliation schedule. Add the following year’s final net income or loss, then list every other movement affecting retained earnings or adjacent equity accounts.

Useful schedule columns are effective date, QuickBooks transaction date, transaction type, reference, debit, credit, source document, preparer, approver, and explanation. Keep direct retained earnings postings separate from the automatic profit roll-forward. Also isolate owner draws, distributions, contributions, common stock, additional paid-in capital, and opening balance equity. Moving owner activity between accounts changes the presentation even when total equity stays the same.

For example, suppose approved retained earnings at December 31, 2024 was 84,000 and 2025 accrual-basis net income was 31,500. The expected January 1, 2026 balance is 115,500 before any approved direct adjustment. QuickBooks instead shows 108,200. The 7,300 difference should become an investigation item. A 7,300 debit journal posted in February but dated December 31 may explain the arithmetic; it does not prove the entry was authorized or classified correctly.

Tie the bridge to the current balance sheet. If it does not agree, do not add an “adjustment needed” row with no source. Break the difference into dated transaction groups until the unexplained remainder is zero or is recorded as an explicit open exception.

Test the common causes in a sensible order

Begin with report configuration. Confirm the fiscal year, report date, accounting basis, classes or locations, and consolidated-versus-single-entity scope. A cash-basis comparison to accrual-basis statements can change income and therefore the expected equity roll-forward.

Next inspect opening balances. Search journal entries and account-opening transactions around the QuickBooks conversion date. Opening balance equity is a temporary setup account, not an explanation. Trace each imported balance to a conversion trial balance and verify debits equal credits. If the conversion included historical profit-and-loss balances as well as an equity total, income may have been counted twice.

Then review direct postings to retained earnings. Filter the general ledger for transaction type, user, and date. Obtain the journal support and approval for each item. Pay particular attention to entries dated on the final day of a closed year but created months later. The audit log can help identify who changed or created a transaction and when, although it should be preserved with the underlying source evidence.

Finally, check account edits and deleted transactions. Changing an expense account to an equity account, merging accounts, altering a transaction date across year-end, or deleting an old invoice can change prior net income or its presentation. Compare the current trial balance with the one delivered at the last close. Investigate differences account by account rather than assuming retained earnings itself is the source.

Separate bookkeeping evidence from accounting decisions

The assistant should not decide whether an old error is material, whether prior statements must be reissued, whether a tax-basis difference requires an entry, or whether a distribution was legally permitted. Those are reviewer decisions.

Use an exception register with one row per unresolved item. Record the amount, affected year, evidence requested, responsible person, due date, and decision status. Examples include “2024 tax return differs from accrual statements,” “conversion trial balance unavailable,” and “December journal lacks approval.” Avoid vague labels such as “accountant issue.” A precise question is easier to answer and preserves the boundary between preparation and judgment.

The IRS recordkeeping guidance explains the general need to retain records supporting income, deductions, and returns. It does not prescribe the company’s retained earnings entry. Keep tax documents as reconciliation evidence while allowing the accountant to determine the proper book treatment.

Close the review without erasing history

When the reviewer approves a correction, record the decision, effective date, affected accounts, and supporting documents. Respect the company’s closed-period policy. If an entry belongs in a prior period, the accountant should decide whether to reopen it, use a current-period adjustment, or handle the difference another way. Do not quietly redraft old reports or change dates merely to make the bridge agree.

After any approved posting, rerun the balance sheet, retained earnings detail, trial balance, and comparative profit and loss. Confirm the bridge agrees to QuickBooks and that related equity accounts still make sense. Preserve pre-change and post-change reports, the approved entry, audit-log extract, source index, and final exception register.

A useful delivery packet contains the comparison document, report-configuration note, year-over-year bridge, direct-posting list, opening-balance test, prior-period change log, approved corrections, and remaining questions. It should state exactly what was reviewed and what was not. That lets the owner or accountant rely on the work without mistaking a balanced spreadsheet for a completed accounting conclusion.
