BLUF: A well-scoped inventory receipt cutoff review makes the next decision easier to see. It gives the reviewer a dated population, a short evidence trail, and a clear list of items that still need judgment.
Start with a defined population
Write down the period, report or list used, filters, and preparation date. If the population changes during the review, keep the original export or snapshot. That record prevents a later reviewer from wondering whether an item was missed or added after the fact.
Separate evidence from judgment
For each selected item, record the source document, transaction reference, current status, and the question that remains. A receipt, invoice, approval note, reconciliation detail, or payroll record may support the entry. The presence of a transaction in QuickBooks Online is not, by itself, proof that its treatment is correct.
Pay particular attention to flagging goods received near period end for reviewer attention. Capture the document or report line that supports the observation, then state what an authorized owner or accountant still needs to decide. This keeps an operational fact from being presented as an accounting conclusion.
A useful review sequence
- Filter the population to the agreed period and record the filters.
- Sort items by age, amount, recurrence, and the effect of leaving them unresolved.
- Match each item to the available source evidence.
- Mark the item supported, missing evidence, awaiting owner decision, or ready for accountant review.
- Write one specific question for every unresolved item and assign its next reviewer.
What to put in the handoff
| Field | What to record |
|---|---|
| Scope | Report, filters, period, and preparation date |
| Item | Transaction reference and current status |
| Evidence | Document location or explanation for missing support |
| Question | The decision still needed, in plain language |
| Owner | Person responsible for the next review |
Keep the queue useful
Do not close an exception just because the list is inconvenient. Do not make a broad edit when the evidence covers one transaction. Preserve the original value beside any proposed treatment, and attach the reason for a change after the authorized reviewer approves it.
A practical handoff note
End the file with the review date, the number of items checked, the unresolved questions, and the next checkpoint. Use the month-end close checklist as companion reading when the work touches a close. The goal is a record another person can pick up without reconstructing the whole conversation.
Frequently asked questions
How often should this run? Use the cadence that fits the underlying process, then repeat it before a close, filing handoff, or owner review when the population has changed.
What if documentation is missing? State exactly what is absent, link any partial evidence, and route the item to the person who can supply or approve the next action.
