BLUF: Payment matching is a small reconciliation that prevents a large reporting problem. Every receipt should be linked to an invoice, a credit, or a documented customer prepayment.

When a payment is left unapplied, the customer looks overdue and the aging report is wrong. When it is applied to the wrong invoice, the error is harder to see and harder to explain.

Start from the bank, not the invoice list

Open the bank feed and list the deposits. For each one, find the customer and the invoices it covers.

Do not start from the open invoice list. That approach encourages matching a payment to whatever is oldest, which is how misapplied payments happen.

Use the deposit date, amount, and reference. A payment processor report usually provides the customer and the invoice reference even when the bank feed does not.

Classify the payment

Most receipts fall into four groups:

  • Exact payment for one invoice
  • Payment covering several invoices
  • Partial payment against one invoice
  • Payment with no clear invoice, such as a prepayment or an overpayment

Record the group before applying anything. The matching rule differs for each.

Match exact payments first

Exact matches are quick and low risk. Apply the payment to the invoice and confirm that the invoice balance is zero and the customer balance decreased by the same amount.

If two invoices have the same amount, use the customer reference or the invoice number in the memo. If neither exists, ask the customer before choosing.

Handle partial and combined payments

For a partial payment, apply the amount to the invoice and leave the remainder open. Note the customer's expected payment date if they provided one.

For a combined payment, apply the total across the invoices the customer identifies. If the amount exceeds the listed invoices, record the difference as an unapplied credit and tell the customer.

Never split a payment by guesswork. A short remittance request resolves it faster than a correction later.

Clear overpayments and credits

An overpayment can be a prepayment for future work, a duplicate payment, or a pricing dispute. Each has a different treatment.

Record the amount as a customer credit and link it to the reason. If it is a duplicate, prepare a refund recommendation for the owner.

Apply existing credits before creating new ones. A customer with several unused credits is a sign that the matching routine is not closing the loop.

Review the unapplied balance

At the end of each week, list payments with an unapplied amount and credits that have not been used. Anything older than thirty days needs an owner and a next action.

A growing unapplied balance distorts the aging report and hides collection risk.

Document the decision

For every non-obvious match, record the evidence: remittance advice, customer email, processor report, or a note from the owner.

The record matters at month end, when someone asks why an invoice shows paid but the bank amount differs.

Boundaries

The assistant can match, document, and follow up on routine items. Refunds, write-offs, and disputes belong to the owner. The routine keeps those decisions rare and well supported.

FAQ

What if a customer pays several invoices with one transfer?

Match the total to the invoices the customer identifies, record any unapplied amount as a credit, and send a remittance summary for confirmation.

Can a VA apply an unidentified payment to the oldest invoice?

Not without evidence. Guessing creates a false paid status and hides the real dispute.
