A cash receipts control log tracks the path from a customer's payment evidence to the record the client team has reviewed. It helps separate a missing remittance, an uncertain match, and a deposit awaiting confirmation instead of treating all three as the same problem.
Define the receipt channels
List the channels the business actually uses and the approved source for each: bank transaction records, processor statements, check receipts, or customer remittances. Agree who can confirm a match and who can approve corrections.
Choose a review cadence suited to the client's workload. Save the population being reviewed and note the date through which each source is complete. A log prepared from incomplete statements should show that limitation.
Record the matching trail
| Log field | Practical detail |
|---|---|
| Receipt reference | Stable identifier, date, amount, and channel |
| Customer allocation | Customer and invoice references, where supported |
| Deposit or settlement | Linked deposit reference and supporting detail |
| Current status | Matched, missing remittance, uncertain allocation, or awaiting confirmation |
| Follow-up | Specific question, owner, due date, and response reference |
A status describes the evidence available; it does not authorize an accounting change. Keep unresolved amounts visible and retain the original source rather than replacing it with a manually adjusted total.
Example: one payment covers several invoices
For an illustrative customer payment, the amount appears to cover three invoices but the remittance is absent. List the candidate invoices as an unconfirmed allocation and request the remittance through the approved contact process. Do not mark all three invoices resolved based only on a matching total.
When supporting information arrives, attach it to the existing reference and route the match to the authorized reviewer. Record the confirmation date and any remaining difference so another team member can continue the work.
Review exceptions without repeating work
At each review, separate new receipts from existing open items. Check previous requests before contacting a customer again. Escalate conflicting records with both sources attached rather than choosing the version that is easiest to reconcile.
Summarize the unresolved items and their next actions for the owner. Use the receipt and deposit cutoff review when the question concerns period-end timing. QBOAssistant can maintain the log and gather evidence while the client retains allocation approval and accounting decisions.
