A useful cash-flow scenario starts with visible assumptions. An assistant can collect expected receipt and payment information, document its source, and maintain versions so the owner can understand what changed between forecasts.

Keep recorded activity separate from assumptions

Agree the forecast horizon, cash accounts, currency, and opening position with the reviewer. Preserve the source and date of that opening position. Do not treat a bank screen, an unreconciled report, and an approved opening balance as interchangeable.

List expected cash events individually before grouping them. A customer promise, an approved supplier payment, and a tentative equipment purchase carry different levels of certainty. Label the evidence behind each date and amount.

Build an assumption register

Input Record alongside it
Customer receipt Invoice reference, expected date, and source of the expectation
Supplier payment Bill reference, due date, and approval status
Payroll or recurring outflow Agreed schedule and authorized source
Planned purchase Decision owner and whether it is committed or optional
Uncertain timing Alternative date requested by the owner and reason

Assign an owner to confirm each uncertain input. Keep an unconfirmed amount visible instead of silently choosing a plausible number. Avoid including the same event both as an individual payment and within a grouped total.

Example: compare collection timing

For an illustrative scenario, the owner asks what happens if a major customer pays one week later. Copy the approved base assumptions into a clearly labeled alternative, change only the instructed timing, and document the affected receipt. Preserve the original version for comparison.

Do not describe the alternative as a prediction or a recommendation. The assistant's output is a traceable comparison using the owner's assumptions. Any decision about borrowing, payment timing, or expenditure stays with the authorized client team.

Make revisions understandable

Record the version date, changed inputs, requested change, and reviewer. Check that formulas and totals still use the intended rows after additions or removals. Retain source links so a reviewer can investigate an assumption without searching through messages.

Include unresolved inputs and the next refresh date in the handoff. Connect the register to the cash-flow reporting packet so recorded results and forward-looking assumptions remain clearly separated.

FAQ

How often should this be reviewed?

Use the cadence that matches the underlying work, and revisit it before a close, filing handoff, or material owner review.

What if the evidence conflicts?

Preserve both sources, describe the conflict precisely, and escalate the decision rather than guessing.

What should this review produce?

It should produce a dated evidence list, clear exceptions, open questions, and an accountable next reviewer.

Does this replace an accountant or owner decision?

No. The preparation organizes evidence; an authorized owner or accountant keeps final accounting, tax, payroll, and payment decisions.
