QBO Bill Entry and Approval Queue

A bill-entry queue lets a VA prepare vendor bills while the owner retains payment approval.

Separate bill preparation from permission to pay

A bill queue should show what has arrived, what the assistant has prepared and what the owner still needs to approve. Start with the authorized intake sources and the business entity in scope. Record the supplier, invoice reference, dates and source location before moving the item through the agreed preparation steps.

Receipt of an invoice is not evidence that the purchase is approved or that payment should be released. Keep those decisions visible as separate states. The assistant follows the documented entry scope and routes exceptions to the named reviewer.

Check for missing or conflicting support

Compare the invoice with the purchase order, receiving record or other support required by the business. If the instructions require an approval that is missing, leave the item pending and identify who needs to respond. Preserve the original invoice even when a corrected version arrives.

Similar invoice numbers, duplicate email arrivals and changed supplier details deserve a clear question. Do not remove a possible duplicate or change payment information independently. Link the relevant records so the reviewer can determine whether they represent the same obligation.

Example: the same invoice arrives in two channels

An invoice appears in both a shared inbox and a supplier portal. The assistant records the two arrival references and compares the supplier, invoice number, date and amount. They mark it as a duplicate candidate for review, keeping the sources intact.

Once the reviewer gives an instruction, record which item remains in the queue and what happened to the other intake record. The decision should be traceable without relying on someone remembering a message from last week.

Handoff by the decision needed

Group the queue into ready-for-review, missing-support, disputed and clarification-needed items using the owner's process. Each item should have a source link, reviewer, next action and follow-up date. Keep a separate record of any approved preparation completed after review.

Payment authorization and release remain with the designated owner. The AP aging review can use this queue to explain which open items still need a decision. Define recurring entry and document-collection responsibilities with payables support before expanding the assistant's scope.
