A customer balance needs a different follow-up when payment is promised, an invoice is disputed, or a remittance has arrived but needs matching. Segmenting the receivables list helps the team send the right request instead of repeating the same reminder to every customer.
Start with an agreed reporting date
Save a dated receivables report and note its settings. Intuit describes the aging summary as an overview of outstanding balances and the detail report as a view of individual past-due transactions. Its receivables aging report guidance explains the distinction.
Use the detail behind a customer total before assigning follow-up. One customer may have several invoices with different due dates or dispute statuses. Keep the invoice reference, outstanding amount, due date, and currency visible in the working list.
Add a follow-up status beside the age
| Segment | Next administrative action |
|---|---|
| Reminder ready | Confirm contact details and approved message |
| Payment promised | Record the customer's stated date and follow-up owner |
| Dispute open | Capture the disputed invoice and requested resolution |
| Remittance received | Route matching evidence to the authorized reviewer |
| Contact uncertain | Ask the account owner for the correct recipient |
Keep age and follow-up status as separate fields. A payment promise does not make an overdue invoice current, and a dispute does not remove the balance from the original report. The working list should explain the follow-up without concealing the reported position.
Example: one customer, three invoices
For an illustrative customer, one invoice has no response, another has a delivery dispute, and a third has a remittance notice. Prepare an approved reminder for the first, send the second to the operational owner, and route the remittance evidence for matching on the third.
A blanket reminder for the whole customer balance would ignore those distinctions. Check existing communication before sending another message, and avoid making commitments about credits, payment extensions, or write-offs without authority.
Make the follow-up queue actionable
Assign each open item a next action, responsible person, and review date. Record the last communication and link any supporting invoice or delivery evidence through the client's approved system. Use concise factual notes so another team member can continue the conversation without reconstructing the email history.
Refresh the queue after confirmed changes in the accounting records. Retain the earlier report and reconcile the working list back to the newly saved population. If a balance appears inconsistent, flag it for review instead of changing records solely to clear the queue.
Keep decisions with the owner
QBOAssistant can organize customer follow-ups and evidence for the payables and receivables support workflow. The authorized client team retains credit decisions, settlement approval, and accounting treatment. Confirm the intended contact process before any customer messages are sent.
